This Privacy Policy explains how Texas Airport Council (“we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Texas Airport Council app (the “App”). By creating an account or using the App, you agree to the practices described in this Policy.

1. Information We Collect

Account & Profile Information

• Name, contact information (email, phone number)
• Pilot license number
• Profile photo (optional)
• Flying history and preferences you choose to add

Flight & Location Information

• Manually entered flight logs (departure/destination airports, dates, flight time, notes)
• Geolocation data used to automatically detect and validate airport visits
• Supporting documents you upload (flight plans, photos, receipts) for validation purposes

Usage & Device Information

• App interactions (e.g., features used, validation requests submitted)
• Push notification tokens and preferences
• Device type, operating system, and general diagnostic data

2. How We Use Your Information

We use the information we collect to:

• Automatically detect and validate airport visits via geolocation
• Process manual validation requests submitted for administrator review
• Maintain your flight log, statistics, rankings, and achievement history
• Operate leaderboards and organization-wide competition features
• Send push notifications about validation status, rankings, and events
• Provide administrators with the tools needed to manage participants and airport data
• Improve app performance, security, and features
• Comply with legal obligations

3. How Location Data Is Used

Geolocation is central to the App’s core function. When enabled, the App uses your device’s location to detect when you land at a member airport and automatically validate the visit. You can disable location access in your device settings, but doing so will limit the App to manual validation only, which requires administrator review.

4. Who Can See Your Information

• Texas Airport Council Administrators: Can view your profile, flight logs, validation requests, and supporting documents to review and approve visits, manage participation, and generate reports.
• Other Pilots: Can see your ranking, name, and achievements on leaderboards, depending on the visibility settings applied by Texas Airport Council. Flight logs and personal contact details are not shared with other pilots.
• Service Providers: We may share limited data with vendors who help us operate the App (e.g., cloud hosting, push notification delivery, mapping and weather data, analytics), under confidentiality obligations.
• Legal Requirements: We may disclose information if required by law, subpoena, or to protect the rights, safety, or property of our users or the public.

We do not sell your personal information.

5. Data Retention

Flight logs, validation history, and achievement data are retained even after the annual ranking reset, so you can review your long-term progress. You may request deletion of your account and associated data as described in Section 8, subject to any records Texas Airport Council is required to retain for administrative or compliance purposes.

6. Data Security

We use reasonable administrative, technical, and physical safeguards including encryption and access controls to protect your information. No system is completely secure, and we cannot guarantee absolute security of data transmitted to or from the App.

7. Children’s Privacy

The App is intended for licensed pilots and is not directed at children. Use of the App requires a valid pilot license or affiliation with a participating organization, and users must meet the minimum age required to hold such credentials. We do not knowingly collect information from children under 13.

8. Your Choices and Rights

Depending on your location, you may have the right to:

• Access, correct, or update your profile information
• Request a copy of your data
• Request deletion of your account and associated data
• Opt out of push notifications through device or in-app settings
• Withdraw location permissions at any time (with the limitations noted in Section 3)

9. Third-Party Services

The App may link to or integrate with third-party services (e.g., mapping and weather providers, payment processors, cloud storage). This Policy does not cover the privacy practices of those third parties, and we encourage you to review their policies separately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the App or by email. Continued use of the App after changes take effect constitutes acceptance of the updated Policy.
